Although Childsmile does passive consent for our supervised toothbrushing programme we still require to log the pack distribution and brushing standards visits further details on how this should be completed on the HIC system is detailed below

This screen is accessed via the ‘Contact history’ screen. 





Use the screen to record when toothbrushing packs are delivered to a nursery or school, which Childsmile staff member issued the packs and the number of packs delivered can be added or edited.
 
The following fields must be completed or ‘Save’ will not be enabled:
1. ‘Packs issued by’ – i.e. the staff member who delivered the packs.
2. At least one class type must have more than one pack recorded against it.
3. The class type must match the establishment type.
 
Remember to click ‘Save Packs Record’ before exiting the screen.
In line with national standards, this screen is used to record whether toothbrushing arrangements within an establishment meet the standards.  The screen is accessed via the ‘contact history’ screen. Names of establishment staff involved, if feedback was provided, any relevant comments and which Childsmile staff member undertook the monitoring are recorded.
 

 
When completing a toothbrushing standards record, at least one year group must be chosen from ‘Class Monitored’ (Nursery, P1, P2, P3, P4, P5, P6 or P7). For composite classes, more than one year group can be chosen.  ‘Class Description’ is a free text box where you can type in a description or name of a class (e.g. a nursery group may be a ‘Morning’ or an ‘Afternoon’ class or be called ‘Butterfly’ whilst a school class may be called ‘P1A’). 
 
Method used offers the options of ‘In Person’ or ‘Remote’, this allows for the possibility on the rare occasion that access to an establishment was limited.

* An individual record is required for each class.  Multiple year groups should only be selected if the class is a composite class.
 
Questions 1 to 3 must be answered to ‘Save’ the document unless ‘Incomplete Standards Visit’ is ticked.  A comment should be added to the ‘Any other comments’ box if any of the standards was not met.
 
The staff member who completed the toothbrushing monitoring must be chosen from the drop-down list.

* Sensitive information should only be recorded into the ‘Notes’ box if it is relevant to Childsmile. Notes are for local use only and information contained within these boxes will not be viewed by Childsmile Data Monitoring teams on a regular basis.
