Annual procedure for moving children in the system
Children’s records will be moved during the summer holidays each year.
 
Any new intakes to nursery or new P1 class lists should be provided to HIC by November each year, if data entry required.
 
Childsmile Nursery
Details of new intakes to nurseries can be added locally or entered by HIC (if requested).
 
No changes will be made to remaining nursery class lists by HIC.  These should be checked and amended accordingly by local health board staff.  Children who have left nursery should be moved out of nursery class lists.
 
Childsmile School
P1 children will be moved to P2 etc.  P7 children will be indicated as having left the school
P2-P7 classes should be checked and amended appropriately by health board staff once records are moved.  Children who have left school should be moved out of school class lists.
 
New P1 class lists should be entered locally or forwarded to HIC for entry (if requested).
 
Every visit to an establishment provides an opportunity to check and amend class lists to keep them up-to-date and accurate.



Use the drop-down list in the top left of the screen to select the relevant class then click ‘Load Class’.  Click on any heading to sort the data to suit (for example, showing children’s surnames in alphabetical order or by their date of birth).  A triangle will appear indicating the direction of the sort (ascending or descending) by the appropriate heading.

Children’s details are listed with the most recent fluoride varnish consent.  The colour of each row indicates each child’s FV consent status, as follows:

Class names can be typed in to the relevant child’s row.  Click the ‘Save Grid Changes’ button to store this against the class list record.
 
Selecting a specific child (by clicking in the row) allows the ‘Child Details’ and ‘Consents’ buttons to become active.  It is also possible to move children to a different establishment from this screen (see separate instructions in this guide ‘Move Child’).
